1. About these terms
These Terms of use govern your use of the Velixa marketing site (velixa.co.uk), every Merchant booking page hosted by Velixa, every hosted Merchant website (/site/<slug>), every booking widget powered by Velixa, and the Velixa customer experience delivered through Merchant mobile apps. They are an agreement between you (the visitor or customer) and Velixa App Ltd, company number 17185369, registered at Office 1168, 60 Tottenham Court Road, Fitzrovia, London, W1T 2EW.
By browsing the platform, creating a Velixa customer account, making a booking, joining a loyalty programme, purchasing a membership, or buying a gift card, you accept these terms. If you do not accept them, please do not use the platform.
2. Who you are contracting with
Your contract for the booking service (the appointment itself), any membership, loyalty programme or gift card is with the Merchant you book with or purchase from. Velixa is the technology provider that operates the booking platform on the Merchant’s behalf and processes transactions through Stripe. Velixa is not the provider of the underlying service and is not a party to the service contract between you and the Merchant.
3. Customer accounts
One Velixa customer account works at every Merchant on the platform. We store your name, email, phone number, a hashed password, your bookings, per-Merchant marketing preferences, and loyalty balances. You can update your details from your profile, and you can delete your account at any time from velixa.co.uk/account-deletion or by emailing [email protected]. You are responsible for keeping your password secure and for all activity carried out on your account.
4. Per-Merchant data isolation
When you book at a Merchant, that Merchant only sees the data needed to deliver that booking: your name, email, phone, the booking details, and the marketing preference you have given that Merchant. A Merchant cannot see your bookings at other Merchants, your marketing preferences for other Merchants, or your password. Spend totals and loyalty balances shown to a Merchant are calculated only from their own transactions with you.
5. Bookings and payment
Pricing, cancellation windows and refund rules are set by each Merchant and shown to you before you confirm. The price shown at booking reflects the rate for the specific staff member you have selected, which may differ from the base service price — the final price is always confirmed before you submit. When you book, your card is saved on file via Stripe — no charge is taken at the time of booking. The Merchant charges your saved card after your appointment, or may apply a late-cancellation or no-show fee in line with their stated policy. Card details are entered into Stripe’s hosted fields and are never stored on Velixa servers.
6. Cancellations & refunds
You can cancel from your appointments. If you cancel inside the Merchant’s cancellation window, any payment already taken will be refunded to your original payment method. 7. Loyalty programmes
Some Merchants operate a loyalty programme through Velixa. Points are earned on completed, paid appointments at the relevant Merchant and may be redeemed against future bookings or services at that same Merchant. Loyalty points:
- have no cash value and cannot be transferred to another person or to another Merchant;
- may be subject to an expiry period set by the Merchant;
- may be reduced or reversed if a booking to which they were attributed is subsequently cancelled or refunded — the Merchant’s loyalty terms govern this;
- are issued and managed at the sole discretion of the individual Merchant, who may amend or end their loyalty programme on reasonable notice.
8. Memberships
Some Merchants sell recurring membership products through Velixa. When you purchase a membership:
- a recurring charge is set up to your saved card via Stripe at the frequency shown at purchase (typically monthly);
- the membership benefits, pricing and cancellation terms are set by the Merchant and are shown before you confirm;
- you may cancel your membership at any time from your customer dashboard — cancellation takes effect at the end of the current paid period unless the Merchant’s terms provide otherwise;
- unused membership credits or benefits have no cash value unless required by applicable law;
- the Merchant may modify or discontinue a membership product on reasonable notice.
9. Gift cards
Some Merchants sell gift cards through Velixa. Gift cards:
- are redeemable only at the issuing Merchant and only against eligible bookings or services;
- have no cash value and cannot be exchanged for money except where required by law;
- may have an expiry date set by the Merchant, which is shown at purchase;
- are not refundable except where required by applicable consumer protection law;
- remain subject to any conditions stated at the time of purchase.
10. Reviews & user content
Reviews, photos and other content you submit must be accurate, your own, and must not be unlawful, abusive, deceptive, or infringe anyone’s rights. We use automated AI-assisted content moderation to screen submissions before they appear publicly. Content that fails moderation is held in a queue for human review. We may remove content that breaches these terms at any time. Details of the sub-processors involved are listed on the Data protection page.
11. Acceptable use
You agree not to: scrape or systematically extract data from the platform; reverse-engineer or interfere with security controls; impersonate another person or business; submit false bookings or fraudulent reviews; use the platform to send unsolicited marketing; or do anything unlawful or that harms other users or Merchants. Velixa may suspend or close any account that breaches these rules without prior notice where necessary to protect the platform or other users.
12. Intellectual property
The VELIXA name and logo are registered trade marks of Velixa App Ltd (UK trade mark no. UK00004379583). All content, design, software and other intellectual property on the platform belong to Velixa App Ltd or its licensors. You may not reproduce, distribute or create derivative works from any part of the platform without our written consent.
13. Marketing communications
We will only send you marketing emails or SMS messages where you have given explicit, recorded consent. You can withdraw consent at any time from Marketing preferences or via the unsubscribe link in any email. Transactional messages (booking confirmations, reminders, receipts, security notifications) are sent on the legal basis of contract performance and are not opt-out.
14. Cookies & tracking
We use a small number of strictly-necessary first-party cookies and, where a Merchant has enabled visitor analytics, an anonymous visitor identifier. See the Cookie policy for full details.
15. Liability
The platform is provided "as is". To the maximum extent permitted by law, Velixa is not liable for: the quality or outcome of the service provided by a Merchant; indirect or consequential losses; lost profits; or loss of data arising from your use of the platform. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be excluded by law. Your statutory consumer rights are not affected.
16. Changes
We may update these terms from time to time. Material changes will be notified by email and posted here at least 14 days before they take effect.
17. Governing law
These terms are governed by the laws of England & Wales. The courts of England & Wales have exclusive jurisdiction, except that consumers may bring proceedings in the courts of their place of residence within the United Kingdom.
